The exchange works reciprocally – two institutions (universities, faculties, departments, or institutes) sign an agreement to exchange students within the Erasmus program. The exchange therefore takes place in both directions. They also agree in advance on the maximum number of students they would like to exchange. Students receive a financial contribution in the form of a scholarship for their mobility. The amount varies depending on the destination country.
Students on exchange attend lectures and seminars, take exams, and earn credits. In addition to studying, you will get to know the host country, learn its language, discover the customs of the "natives," and, above all, meet new people and make new friends. Every Erasmus experience is different; you will have your own unique story. You will meet students from all over Europe and the world, and learn many new things outside the lecture halls and laboratories.

Your scholarship funding will be provided in EUR. To avoid losing much from money transfers, get yourself a EUR account. The received financial support differs from destination and length of stay.
Choosing an university and preparing your study plan
- The courses you choose to study fill in into your study plan – a document called the Learning Agreement Before Mobility for Studies. You can find the documents for download at the bottom of the page.
You will enter your selected courses for study abroad in the Learning Agreement for Studies - Before the Mobility (LABM) form, section TABLE A. Document do download is at the end of this page.
- A prerequisite for a successful application for mobility is a study plan at the host university worth at least 25 ECTS per semester, of which 20 ECTS should be specialized courses. The remaining subjects may be outside your field of study, e.g., languages or something that interests you and you want to broaden your horizons with.
You must complete a subject from your study plan here at the University of Chemistry and Technology. These are so-called retroactively recognized subjects. These subjects are entered in the LABM - TABLE B section.
- To submit your application, you must find at least two subjects that you agree with the subject guarantor or study program guarantor will be retroactively recognized (for more information, see the "Subject Recognition" section).
- Extra tip - a course can also be recognized by completing two courses abroad. For example, if the guarantor considers the content of the course insufficient and supplements it with another course of your choice.
Fill in all the blank sections of the LABM and ask your faculty coordinator (see contacts below) for approval (signature). The other signatures are to be collected after submitting your application. Please read carefully the explanations in the "Glossary" at the end of the document and also our comments in the documents comments section.

- A full-year stay may be approved if there are enough places available at the partner university.
- Please note that we will only be able to provide you with information about the award of a scholarship for the second (summer) semester in the summer, i.e. before your departure in the fall. At the time of selection in March, we do not have the amount of the future grant available.

- The courses that will be recognized do not have to be from the semester when you are abroad!
- Course recognition can also be linked to two courses from abroad (in the row of recognized courses in Table B, there will be a link to two rows (e.g., C+D) from Table A.

Rules for recognition of credit courses from abroad: 1. A course with an overlap in the syllabus with a course in the student's study plan may be recognized as a compulsory, compulsory-optional or optional course (assessed by the course guarantor). 2. A course from a foreign university that fits the graduate's profile but does not have an equivalent in the student's study plan, may be recognised as a compulsory-optional course (assessed by the study programme guarantor). 3. Any course (at the same study level) from a foreign university may be recognized as an optional course (added to the Student's study plan, often after arrival by the Dean's Office - under the "X" code). Additional remarks: 1. The Final State Exam topic areas in compliance with the approved accreditation, do not in any way change in case the student has requested a recognition of a UCT Prague course covering an FSE topic area (usually the compulsory or compulsory-optional course). I.e. in case the recognized course(s) does not fully cover the FSE topic area, it still will be a part of the FSE, and the student himself/herself is responsible for filling in any missing knowledge of the topic area. |
Application for Exchange Study Stay Erasmus
Applications can only be submitted online. You will need to have your LABM approved by the faculty coordinator and have your language certificate ready to attach.
- Check the home page for applications deadlines.
- You can upload up to 3 different LABMs to your application, i.e. up to three study plans (for 3 different universities). The first one uploaded will be your first choice.
If you select only one university, you may not be selected due to the large number of applicants, so it is a good idea to have a backup option ready! Additionally, once the selection process is complete, it is no longer possible to select other alternatives.
Selection interview
After the application deadline, you will be invited to an online selection interview. You will have the opportunity to present your travel plans, motivation, and compatibility with your study plan in more detail. During the interview, you will receive a score based on the selection criteria (which you can review below).
You will be notified of the interview results by email. If you are successful, you will receive our heartfelt congratulations :-) and a decision on which university/option you will be nominated to. We will inform you about the nomination process, and you will then follow the instructions provided by the host university.
If you study in English here at UCT Prague, you do not need the language certificate for UCT Prague application process. But you will still need it for the host institution later.
You will need to have a language certificate for the language in which you plan to study (TOEFL, IELTS, Cambridge ESOL) to your application.
Check the conditions for recognition (validity) of the language certificate and the minimum level of knowledge according to the rules of your future host university. If they have no restrictions, level B2 is sufficient for your application.
- We do not limit the age of certificates for applications. If you have an older certificate and want to improve your rating, take a test at the Language Institute.
- If you do not have a recognized language certificate (TOEFL, FCE, CAE, etc.), you can also take a test at the Language Institute. You can register by emailing the specific teacher. Tests take place during the consultation hours of the selected teacher. You can arrange a specific date by email.

Nomination
As soon as you receive information about the results of the interviews and which school you have been selected for, we will also inform you about how your NOMINATION will proceed. We will carry out the nomination and soon after you will follow the instructions of the host university, which will contact you via your school email address.
Application to the host university
After nomination, you will be invited directly by the host institution to submit your application. This usually involves filling out internal online forms, uploading your Learning Agreement Before Mobility, a transcript of your grades in English (issued by the dean's office), and providing other personal information. From that point on, you are responsible for submitting all necessary documents and communicating with the university independently.
- If you follow all the recommendations and submit everything required, acceptance is usually just a formality. The biggest hurdle may be your choice of subjects, when you will be instructed to change your study plan, usually in accordance with the current offer. Sometimes there is quite a long time between when you first put together your study plan and when you are nominated and preparing for your mobility. This is especially true for trips during the summer semester.
OLA - Online Learning Agreement
The responsible person at VŠCHT is Lenka Polanská, you can leave the contact person blank. Once the host school (Receiving Institution) has signed the OLA, you no longer need to obtain their signature on the paper form LABM.
PLEASE NOTE! This document does not replace the paper version of the Learning Agreement Before Mobility. You must also have this completed and signed by the vice-deans, course guarantors, and sent to the faculty Erasmus+ coordinator at outgoing@vscht.cz for signature.
Letter of Acceptance
Once the host university accepts and approves your application, it will send you either a Letter of Acceptance or other confirmation by email. Based on our experience, we would like to point out that this process can take from a few weeks to months...
- If you don't hear back from the school for longer than expected, write to outgoing@vscht.cz and ask if everything is okay.
- Once the LoA arrives, you're all set!!!
Participant Agreement
The International Office will prepare a Participant Agreement (financial agreement), for you. Once you have all the necessary documents ready, upload them and answer the questions in this form:

- Once you have submitted the form, write to outgoing@vscht.cz and ask for an appointment to sign the participation agreement. You must still have at least 10 working days left before your departure!
Letter of Acceptance stating the exact dates of your stay (expected arrival, departure) and may also include information and dates for the Orientation/Welcome week. This period will be counted towards your stay!
Insurance (a copy of the insurance policy) proving that you are insured for the entire duration of your stay. You must have travel insurance for the entire duration of your stay. Unfortunately, the EHIC European insurance card does NOT provide sufficient coverage of expenses and adequate services for travel abroad.
- We recommend checking the travel insurance offers provided by your health insurance company. For example, OZP and VZP policyholders have very advantageous offers from their insurance companies, and ZPMV policyholders even have offers that are almost free! We have also found the ISIC insurance offer to be good, and ERAPO and VŠCHT also offer discounts with AXA insurance.
Learning Agreement Before Mobility. Verify that all courses/subjects you have selected in advance are current and will actually be taught. Once you have all the available information, have the document signed by the responsible persons at VŠCHT (if you were unable to complete the OLA, also by the receiving institution). Don't forget the signatures of the guarantors for the recognized subjects!
OLA sent and electronically signed by the host university (if you are unable to complete the process, e.g., because the other party does not have an OLA, please send some proof - a screenshot to outgoing@vscht.cz).
EUR account details (bank name, BIC/SWIFT, IBAN).
Enrollment for the next semester - Don't forget to inform the dean's office about your departure plans as soon as you have specific departure and arrival dates. You must have your enrollment for the next semester arranged. Alternatively, consult with the dean's office about the possibilities of Individual Study Plan and extending your studies.
Arranging travel and accommodation at your destination is entirely up to you. The scholarship you receive from Erasmus is a fixed amount based solely on your destination and length of stay and does not change depending on your travel and accommodation costs.
Be very careful with various Facebook offers that require advance payment for accommodation. These are often scams and no one will refund your money.

Registration in the DROZD database
We recommend this for every trip abroad. This involves registering on the website of the Ministry of Foreign Affairs in the database of Voluntary Registration of Czech Citizens Traveling Abroad - DROZD. This is very useful, not only because it will send you warnings in the event of any extraordinary crisis situation from the embassy in your region, but it will also inform you about everyday matters such as transport strikes, train cancellations, and the like. And that always comes in handy.
OLS (Online Language Support)
Before you leave, you can take the OLS language test and gain access to many online language courses, whether for the language of your studies or the language spoken at your destination. For simplicity, you can go through the instructions on how to log in to the platform.
Fill in the Learning Agreement During Mobility, where you will only indicate the changes – what you are adding and what you are removing, either in part A, part B, or both parts, and obtain all signatures from the UCT.
Do not forget to fill OLA, section Changes. Do it in your recent OLA. Do not create ne one.
- After approval of your UCT Prague faculty coordinators (vice- deans), send the document to for final approval at outgoing@vscht.cz.
- Approval from the host university should be done only via OLA. If there is no OLA in your case, please have the LADM signed also by the host university.
- The order of signatures usually does not play a significant role.
Keep in mind the minimum requirement of 25 ECTS and at least one eligible course. Try to record and resolve any changes within 30 days of arriving at your destination.
Do you wish to prolong your Exchange Study Stay abroad?
- Prolonging you stay by another semester of courses abroad is possible only from winter semester to summer semester. Also this must be solved very soon, often within few weeks after you start the winter semester exchange. There are new nomination deadlines and approvals that must be done almost immediately after you arrive.

If you have such an option, first agree on it with the local International Department. Then send signed a Appliaction for Extension together with new Learning Agreement Before Mobility for the next semester signed by resposible persons from UCT Prague to outgoing@vscht.cz .
Wait for the approval from outgoing@vscht.cz! There might be financial limitations that could prevent our approval.
An amendment to your Financial Agreement will have to be arranged by our office.
Before return home
If possible, do not leave without a Confirmation of Stay (CoS) signed by the local Erasmus coordinator. Document to be downloaded at the end of this page.
- You must submit the original CoS to the International Office upon arrival.
- At the same time, request a Transcript of Records (ToR), also in the original version. It may happen that they do not have it available yet (in some cases it takes up to 5 weeks after the end of the stay). In this case, arrange to have the original sent by email, again with a copy to outgoing@vscht.cz . You may be able to download the ToR from their student system. In this case, forward it to outgoing@vscht.cz and we will assess its verifiability.
If you are unable to obtain a signature on a paper CoS, ask your coordinator to send you the CoS by email and copy it directly to outgoing@vscht.cz. Only then can the confirmation sent by email be considered an original.
If your host coordinator can issue a document with certified signature or stamp, that can be verified online, this is also sufficient option!
You must successfully complete courses worth at least 15 ECTS credits from the courses listed in the Learning Agreement Before Mobility (Table A). At least one of these courses must be a recognized course (Table B).
This is the minimum you must achieve. However, we will still ask you why you were unable to complete the other courses.
If your plans fall apart and you are unable to successfully complete your studies, always contact your local coordinator as soon as possible. Try to find a solution. If you still don't know what to do, write to outgoing@vscht.cz . We will try to look at your options together.
What to do after return?
If possible, do not leave for home without a CoS signed by the local Erasmus coordinator. The signature must not be older than 3 days before the end of your stay. You must submit the original version of this document to the International Office.
The dates stated on the CoS should correspond to the length of stay stated in the Participation Agreement. If they differ by more than 5 days, you will be asked to return the proportional part of the scholarship.
If you are unable to obtain a signature on the paper CoS, ask your coordinator to send you the CoS by email and a copy directly to outgoing@vscht.cz . Only then can the confirmation sent by email be considered an original.
The host university is often unable to issue a Transcript of Records before your departure. Sometimes the process takes up to 4-5 weeks. In this case, arrange for the document to be sent by email, but always send a copy to outgoing@vscht.cz .
You may obtain your grades from the local study system. It is important that the output is verifiable. There is usually a link where you can verify the validity/authenticity, or it is a digitally signed PDF. If you are unsure, send the output to outgoing@vscht.cz , and we will advise you if it is okay.
Grades must be listed in ECTS. If they are not, ask the university for a conversion table. If they do not provide one, contact the dean's office to see if they have experience with this. If you are unsuccessful, write again to outgoing@vscht.cz . We will try to help :-)
The Learning Agreement After Mobility document is the final part of the Learning Agreement that you prepared before or during your mobility period (LABM + LADM). If you already have your transcript of records, you can fill in this document yourself and have it signed by the faculty Erasmus coordinator.
The courses in Table C must correspond to the information in the LA BM (+ LADM).
Shortly after your return, you will need to fill out one of these questionnaires. If you had an Erasmus scholarship, you will automatically receive requests to fill it out via your school email. If your scholarship was MOBI (non-Erasmus), you will not receive a request to fill out the EU Survey. Just download and fill out the MOBI final report.
This is a mandatory questionnaire sent to you by the European Commission. The questionnaire also includes a list of recognized subjects. If you do not yet have the data to fill in the questionnaire, leave it blank and you will be reminded in 45 days.
Please check your spam folder. Requests to fill in the questionnaire often end up there.
